For property management and facility services
Every request logged. Every job closed out.
Requests arrive by phone, email and text. Someone has to log them, send the right crew or vendor, chase the update and bill the work. When that chain depends on memory, things slip, and owners and clients notice. We make it a system.

In short: Grox Co. helps Ontario property management and facility service companies capture every request, dispatch faster and close out jobs on time. We map how requests become work orders, how crews and vendors are sent, how owners and clients are updated and how jobs are billed, then set up simpler steps and tools your office can run. It starts with a $500 fixed-price review.
What we look at
From the first call to the closed-out invoice.
How requests arrive
Phone, email, text, portal: how each one gets logged, and what happens after hours.
Dispatch and work orders
How a request becomes a job, who decides which crew or vendor goes, and how they get the details.
Updates to owners and clients
How people find out what's happening, and how often your office has to answer "any news?"
Close-out and billing
How finished work is confirmed, documented and invoiced, including vendor bills you pass through.
What we might build
One path for every request.
This draws on our operations and automation work, plus quote follow-up for facility contracts.
- One intake point for requests, however they arrive
- Work order templates with the details crews and vendors need
- Automatic status updates for owners and clients at key steps
- A shared board of open, scheduled and overdue jobs
- Invoices sent when a job is closed out, not days later
- Follow-up on contract quotes so they don't go quiet
A typical starting point
Where should a property or facility company start?
With a Find the Opportunity review of how a maintenance request becomes a closed, invoiced job. We map every step with your office and field staff, find where requests stall, and give you a short, prioritized plan.
- $500, fixed price
- 3–5 business days
- Works with your existing property or job software
Questions
Questions property and facility owners ask
Will you replace our property management software?
Usually not. We start with what you already use and set it up so requests, work orders and updates flow through it. If something new is needed, we'll explain the cost and trade-offs before you agree.
Can owners and clients get updates without calling us?
Often, yes. Simple automatic messages at key steps, such as "booked", "on site" and "done", answer the question before anyone has to call. We'll check what your tools can do before suggesting anything new.
Our field staff aren't big on technology. Will they use it?
That's why we keep it simple and test it with them before it goes live. If a step is too fiddly to use from a phone on site, we change the step.
How much does it cost?
It starts with the Find the Opportunity review, $500. If a fix is worth doing, it's a fixed-scope project, starting at $3,000. Any software subscriptions are extra, and you own the accounts.
