For accounting, legal and insurance offices

Less chasing clients. More time for billable work.

Your team is good at the professional work. What eats the week is everything around it: intake emails, engagement letters, chasing documents and reminding clients of deadlines. We make that part run on its own.

In short: Grox Co. helps Ontario accounting, bookkeeping, legal and insurance offices cut the admin around client work. We map how new clients are taken on, how documents are collected and how work moves to billing, then set up simpler intake, templates and reminders that work inside your existing practice software. We don't give legal, tax or accounting advice. It starts with a $500 fixed-price review.

What we look at

Everything around the professional work.

We work on how the firm runs, not on the advice it gives. Client files stay in the systems you choose, and we only ask for the access we need.

New client intake

What happens from first inquiry to signed engagement letter, who owns each step and how long it takes.

Document collection

How you ask clients for what you need, how often you have to ask again, and where it all ends up.

Deadlines and recurring work

How filings, renewals and annual reviews are tracked, and how clients are reminded.

Work to billing

How finished work becomes an invoice, and where time or fees slip through.

What we might build

Fewer emails. Fewer reminders. Fewer surprises.

This draws on our operations and automation work, plus follow-up for prospective clients.

  • A simple intake form that captures what you need up front
  • Engagement letter templates that go out the same day
  • A document checklist per client type, with automatic reminders
  • One shared view of deadlines, renewals and who owns each
  • A clear handoff from finished work to invoice

A typical starting point

Where should a professional firm start?

With a Find the Opportunity review of new client intake or document collection. We map each step with your team, find where time goes, and give you a short, prioritized plan. We'd suggest scheduling it outside your busiest weeks.

  • $500, fixed price
  • 3–5 business days
  • Works with your existing practice software

Questions

Questions professional firms ask

How do you handle client confidentiality?

We ask only for the access we need, often just a screen share, and never move client files into tools you haven't approved. We explain where any data goes before setting anything up, and remove our access when the project ends. You stay responsible for your professional obligations, and we design around them.

Will you replace our practice management software?

Usually not. Most firms already pay for software that can do more than it's set up to. We start there, and only suggest something new if it clearly helps, with the cost explained first.

Do you give tax, legal or accounting advice?

No. We work on how the firm runs: intake, reminders, handoffs and admin. The professional work stays with you.

How much does it cost?

It starts with the Find the Opportunity review, $500. If a fix is worth doing, it's a fixed-scope project, starting at $3,000. Any software subscriptions are extra, and you own the accounts.
